Device management and monitoring is how the Managed IT Department stays connected to the business technology it is responsible for supporting. Computers, servers, firewalls, switches, wireless access points, printers, battery backups, cloud services, and other devices all need a reliable way to communicate with the systems used to manage or monitor them. Modern businesses rely on far more technology than just computers and servers. This article explains what makes technology manageable, monitorable, and supportable, and what happens when those requirements cannot be met.

How Device Management and Monitoring Works #
A device is considered covered for management or monitoring only when it is part of the client’s applicable service scope and the Managed IT Department has the technical ability to support it. Management means we can remotely administer the technology. Monitoring means we can automatically receive useful health, status, connectivity, or event information. Simply connecting something to the network does not make it managed. The device still needs an appropriate communication method such as an RMM or MDM agent, cloud management console, API, SNMP, SSH, HTTPS management interface, or another supported remote connection.
The Simple Rule: It Has to Communicate #
The Managed IT Department needs a communication path. That connection may be direct or indirect.
- A Windows, macOS, or Linux computer may use a Remote Monitoring and Management agent.
- A phone or tablet may use Mobile Device Management.
- A Microsoft-managed device may connect through services such as Entra ID or Intune.
- A switch, firewall, wireless access point, printer, UPS, or storage device may communicate using network management protocols.
- A hypervisor or cloud service may provide a secure API or management console.
- A USB printer, scanner, webcam, UPS, or other peripheral may communicate indirectly through the managed computer to which it is connected.
If the technology is completely isolated from the network and cannot communicate through another managed device, the Managed IT Department cannot continuously monitor or remotely manage it. We may still be able to help through a support call, remote video session, vendor coordination, or separately requested onsite assistance.

Business Network Equipment Needs Business Management Features #
Business networks require business-grade equipment. A switch may technically pass network traffic while still being unsuitable for a managed business network. An unmanaged switch is a simple example. It may move data between devices, but it does not provide the visibility and administrative capabilities needed to properly manage the network.
Depending on the device and its role, business network infrastructure should support appropriate technologies such as:
- SNMP for monitoring and status information
- SNMPv3 where available for stronger authentication and security
- SSH for secure remote administration
- HTTPS or another secure management interface
- APIs where supported
- LLDP or vendor-specific discovery technologies such as CDP
- Spanning Tree Protocol where applicable
- VLAN configuration and management
- Remote configuration and administrative access
- Centralized logging, alerting, or event monitoring where supported
Older technologies such as Telnet may still exist on some devices. SSH or another secure management method is preferred whenever the manufacturer supports it.
Not every device needs every protocol.
The requirement depends on the device’s purpose. A network switch has different management requirements than a printer or battery backup. The important question is whether the device provides enough secure management and monitoring capability for its role.
Management and Monitoring Are Different #
Management means the Managed IT Department can remotely administer the device or service. Monitoring means the Managed IT Department can automatically receive useful health, status, or event information. The best environments provide both. For example, SNMP may tell us that a UPS battery has failed. A management console may allow us to review additional details and change supported settings. An API may provide both monitoring information and administrative control. A device that only sends an alert may be monitored without being fully managed.
Automated Alerts Are More Useful Than Manual Checks #
Scalable IT management depends on automation. An alert may come from:
- SNMP or an SNMP trap
- A vendor cloud platform
- An API integration
- A webhook
- Syslog or another supported logging platform
- ICMP or another heartbeat monitor
- An RMM or MDM agent
- A hypervisor or infrastructure management platform
- An authenticated email alert
For critical systems with stable network assignments, monitoring may also include heartbeat checks. A heartbeat may be as simple as an ICMP response or may come from an agent, hypervisor, application, or cloud service. Site-level heartbeat monitoring may also be used to identify larger connectivity problems.
Email Alerts Can Be Useful #
Email alerts are acceptable when they are generated through a secure, stable, and properly authenticated system. However, an email alert does not automatically make a device fully managed. For example, a locally connected UPS may use software on a workstation to send an email when the battery fails. That can be helpful. However, the alert depends on the workstation being powered on, the USB connection remaining attached, the software continuing to run, and the email delivery process continuing to work. A centralized management platform that can confirm device health and connectivity provides much stronger visibility.
Centralized Management Is Preferred #
Device management and monitoring is most efficient when supported technology connects into the Managed IT Department’s centralized management systems.
This improves efficiency because technicians can work from standardized tools, documented configurations, automated monitoring, and established vendor relationships. A separate vendor portal can still be supported when appropriate. However, support may take longer when the platform is outside the normal management environment or requires a completely separate workflow. Having a username and password does not automatically make a technology managed. The platform must also meet applicable security, support, licensing, lifecycle, integration, and Technology Standards requirements.
Administrative Access Is Required for Management #
If the Managed IT Department is expected to manage a device, administrative access must be available. Access should be securely documented through the approved IT documentation system. Credential access should remain auditable. Dedicated administrative accounts are preferred when the vendor supports them, but they are not always required. Multi-factor authentication is strongly recommended. It is especially important for critical infrastructure, remote management systems, cloud platforms, and regulated environments.
Devices Must Be Supported by the Manufacturer or Vendor #
The Managed IT Department works with technology manufacturers and vendors. We do not replace them. Manufacturers build the hardware. Software developers write the applications. Vendors provide product-specific engineering, updates, licensing, repair procedures, replacement parts, warranty service, and escalation resources. The Managed IT Department coordinates these resources as part of managing the environment.
For hardware to receive covered hardware support, an active manufacturer warranty or equivalent hardware support entitlement must be in place where hardware repair or replacement support is expected. Software, SaaS platforms, firmware services, and other licensed technologies must also maintain the licensing, subscriptions, and vendor support required for continued operation and maintenance. When manufacturer or vendor support expires, important capabilities may disappear. Updates may stop. Security patches may no longer be available. Support portals may become inaccessible. Replacement parts may become difficult to obtain. Vendor escalation may also no longer be available. When those resources are no longer available, support may move into Best Effort IT Support.
Your IT Department is not a replacement for the manufacturer.
We can diagnose, advise, coordinate, configure, and work with vendor support. The manufacturer or authorized service provider remains responsible for product-specific engineering, warranty replacement, specialized repairs, and vendor-only fixes.
End of Life and End of Support Are Not Always the Same #
- End of Life is a manufacturer-defined lifecycle milestone. It may mean the product is no longer being sold, is entering retirement, or is approaching the end of active development.
- End of Support is more important from an ongoing IT management perspective. Once the manufacturer or vendor stops maintaining the technology, the Managed IT Department may lose access to updates, fixes, engineering assistance, replacement options, or other resources required for reliable support.
Business Technology Should Be Business Grade #
Business environments should use equipment designed for business use. Consumer and prosumer products may work technically, but they often have different support models, security capabilities, management features, warranties, lifecycle expectations, and remote administration options. Some consumer devices may still be partially manageable or monitorable. However, that does not automatically make them suitable for covered business infrastructure. Consumer technology may receive Best Effort IT Support where appropriate, or it may need to be replaced when its limitations prevent responsible support. Our current recommended and supported technology categories are documented in the Technology Standards.
USB Devices and Other Locally Connected Equipment #
Not every device needs its own network connection. A printer, scanner, webcam, battery backup, or other peripheral may connect through USB or another data cable to a managed computer. We can usually help with these devices because the computer provides a path into the environment. However, this does not automatically provide continuous centralized management. Some locally connected devices require an employee to report the problem. Others provide local software that can generate alerts. Some can connect through the host computer into a cloud management platform. The available support depends on the capabilities of the device.
A useful distinction:
Being able to help with a device is not the same as being able to continuously manage and monitor that device.
What Happens When a Device Goes Offline? #
A properly managed device does not stop being covered simply because it is temporarily offline. A laptop may be shut down. A mobile device may be traveling. A server may be undergoing maintenance. However, monitoring and remote management cannot occur while the required connection is unavailable. When a management agent, integration, probe, cloud connection, or other required system stops reporting, the Managed IT Department will generally work to restore communication when the issue is within scope. We also work to keep management agents and supporting systems updated and functioning properly.
When Does a New Device Become Managed? #
A newly purchased computer or device does not become managed merely because it was purchased or connected to the network. The required management system must first be deployed. For a computer, this is commonly the RMM agent or another approved management platform. Deployment may happen automatically through cloud enrollment, Microsoft Entra ID, Intune, Group Policy, another automated system, or a technician-assisted onboarding process. Once the required management connection is active and the device is included within the applicable service scope, it becomes part of the Managed IT Department’s operational environment.
Monitoring Does Not Automatically Mean Every Service Is Included #
A management connection is the foundation for many additional services, but it does not by itself define the client’s complete service scope. For example, an RMM platform may help deploy security, backup, monitoring, or other approved software. Automated systems and operational teams may also monitor whether required software deployments succeeded. However, backup coverage, cybersecurity services, licensing, warranty coverage, and other protections still depend on the client’s current service plan and configuration. Some network management platforms can also back up supported device configurations through APIs, SSH, or other management methods. Configuration backup is helpful, but it should not be confused with a complete business data backup or disaster recovery solution.
Vendor Support and Hardware Repair Are Different From IT Support #

Client-Owned Technology and Vendor Support #
When the client owns the hardware, software, SaaS account, or vendor relationship, the client remains the owner. The Managed IT Department can advise, troubleshoot, coordinate the case, communicate technical information, and work alongside vendor support. However, we will not impersonate the client or claim to be the account owner. When the vendor requires owner authorization, an authorized client representative may need to participate in the call or support session. When technology is provided as Hardware as a Service or License as a Service and EasyITGuys owns or controls the applicable vendor relationship, the Managed IT Department can generally handle the vendor coordination directly because the service provider is the authorized owner or account holder.
Specialty, Line-of-Business, and Industrial Systems #
The Managed IT Department primarily supports the infrastructure that allows specialized business systems to operate. This may include the network, computers, servers, identities, authentication, connectivity, and related infrastructure. The specialized application or equipment itself is generally best supported by the software vendor, manufacturer, integrator, or the client’s internal application owner. Examples include line-of-business applications, PLCs, manufacturing controls, environmental systems, refrigeration controls, specialty production equipment, and similar technologies. We can assist with infrastructure, connectivity, installation support, and vendor coordination. Product-specific workflows, programming, mechanical repair, industrial controls, and other specialized functions may fall under Best Effort IT Support or remain with the applicable specialty provider.
What If the Technology Cannot Be Managed? #
We will still do our best to help. The available assistance may include:
- Remote troubleshooting with an end user
- Video-based guidance
- Reviewing locally installed management software
- Helping interpret device lights, screens, or error messages
- Coordinating with the manufacturer or vendor
- Recommending replacement technology
- Separately requested onsite assistance when appropriate
Best Effort IT Support does not convert unsupported technology into managed technology. Physical onsite work is also different from remote Best Effort IT Support. The Best Fix Is Usually Standardization #
When a device cannot be properly managed, the long-term answer is often straightforward. Replace it with technology that meets current standards. Standardization allows the environment to become easier to monitor, easier to support, easier to secure, and easier to maintain. This remains valuable even if a different IT provider manages the environment in the future. These are fundamental capabilities that any mature IT department benefits from having.
Device Management Decision Tree #
1. Is the technology business-grade, currently supported, properly licensed, and covered by an applicable warranty or support entitlement?
If no, support may be Best Effort or the technology may fall outside Technology Standards.
2. Can it communicate through the network, internet, an approved agent, cloud platform, API, or another managed device?
If no, continuous remote management and monitoring are not possible.
3. Can the Managed IT Department securely administer it remotely?
If yes, the device can be managed. If no, it may still qualify for monitoring or Best Effort Support.
4. Can important health, connectivity, or event information be monitored automatically?
If yes, automated monitoring or alerting is available. If no, monitoring may be limited or require user involvement.
5. Is the technology included within the client’s current service scope?
If yes, the applicable level of management, monitoring, and support can be provided according to the client’s current service plan.
If one of these requirements is missing, the technology may still be monitored only, supported through Best Effort IT Support, or considered outside normal Technology Standards.
Before Purchasing Business Technology #
Clients are welcome to purchase technology directly. We strongly recommend confirming compatibility before purchasing important business equipment.
Before purchasing, ask:
- Is it designed and supported for business use?
- Is the exact model actively supported by the manufacturer?
- Are the required warranty, licensing, subscriptions, and vendor support active?
- Can it be securely administered remotely?
- Can it connect to a supported cloud console, API, agent, or network management system?
- Can it automatically provide useful monitoring or alerts?
- Are security updates, firmware updates, and replacement parts still available?
- Does it meet the current Technology Standards?
If a client purchases equipment independently, the client is responsible for selecting equipment that meets these requirements. Purchasing incompatible technology can limit the support, monitoring, and management that any IT department can reasonably provide.
How Service Plans Affect This #
The technical requirements for managing a device do not change based on the service plan. The primary difference is how human labor is covered.

For example, an alert may automatically reach the appropriate team under either model. Under a usage-based plan, the client may then be contacted for approval before billable remediation work begins. Current pricing and service structure are documented in Business Membership Pricing.
Keeping the Covered Environment Accurate #
The Managed IT Department uses automation wherever possible to keep device coverage current. Managed devices may be automatically added or removed based on agent deployment and last-seen information. Cloud identities may also be synchronized from supported cloud tenants. Users and physical locations may require manual updates. Clients should review the device, user, location, and coverage information made available to them. If something appears incorrect or incomplete, the client should contact the Managed IT Department so the discrepancy can be reviewed. The technical ability to manage a device determines whether it can be managed. Current service documentation and configuration determine whether it is part of covered management.
Technology Standards are the operating baseline.
The goal is to use technology that can be securely supported, remotely administered, monitored, maintained, and escalated to the manufacturer or vendor when needed. Why does device management and monitoring require connectivity? #
Remote management and automated monitoring require a reliable communication path. Does every device connected to the network automatically become managed? #

Usually, yes. The managed computer provides a path for remote assistance. The device may still depend on an end user, local software, or another management platform for health information and alerts.
What if the device is turned off? #
A covered device can remain covered while temporarily offline. Active monitoring and remote administration simply cannot occur until communication is restored.
What happens if the management agent stops working? #
We generally work to restore the management connection when the issue is within scope. Management agents and supporting systems also need maintenance and updates, just like other software.
Do business devices need active warranties? #
Hardware that is expected to receive normal covered hardware support should have an active manufacturer warranty or equivalent hardware support entitlement. The Managed IT Department is not a replacement for manufacturer repair and replacement services.
What if the manufacturer’s warranty or support expires? #
The device may move into Best Effort IT Support. Some problems cannot reasonably be resolved without manufacturer updates, parts, engineering support, licensing, or replacement services.
Can consumer or prosumer equipment be used in a business? #
It may technically work, but that does not make it appropriate for managed business infrastructure. Consumer products often have different management, security, support, warranty, and lifecycle limitations. Business environments should use business-grade technology.
Do we have to buy equipment from EasyITGuys? #
No. Clients may purchase equipment directly. We strongly recommend confirming compatibility with the Technology Standards before purchasing. When clients purchase independently, they are responsible for selecting technology that meets the requirements needed for long-term management and support.
Why is centralized management preferred? #
Centralized systems improve monitoring, documentation, consistency, automation, and response times. Separate supported systems can still be used, but they may require additional manual steps.
Does having administrator credentials mean the device is covered? #
No. Credentials are only one requirement. The device must also meet applicable Technology Standards, vendor support, licensing, lifecycle, security, management, and service-scope requirements.
Does being managed mean the device is automatically backed up? #
No. Some management platforms can back up device configurations, but full data backup and disaster recovery are separate services with their own requirements.
Does an RMM agent mean all security services are automatically covered? #
No. The RMM platform may be used to deploy and maintain approved security, backup, and management software. Actual service coverage depends on the client’s current plan and configuration.
Who contacts the vendor when something fails? #
The Managed IT Department can coordinate vendor support. When the client owns the hardware, software, or vendor account, the vendor may require an authorized client representative to participate. We will not impersonate the account owner.
What about specialized industrial or manufacturing equipment? #
The Managed IT Department may support the network, computers, servers, identities, and other infrastructure surrounding the system. Specialized industrial equipment is generally supported by its manufacturer, integrator, or specialty support team.
What should we do if our equipment does not meet these standards? #
The most reliable long-term solution is usually to replace or modernize the equipment. Standardized, supported technology provides better visibility, easier administration, stronger security, and more predictable support.
