Regular Business Hours #

Residential and business clients are supported by different Operations teams. These hours determine when normal appointment management and coordination are included as part of the service.

When support takes place during the applicable team’s regular Operations hours, normal appointment coordination and management are included. The client is billed for the technician performing the support work and any other applicable labor, travel, equipment, or service charges.

How Operations and Support Staff Work Together #

Some service requests involve more than one person. The technician performs the technical work. Operations manages the request and may coordinate scheduling, communicate with the client, work with field support personnel or partners, assist with escalation, and help keep the appointment moving toward completion. When Operations staff are required to actively work outside their regular schedule, their time becomes billable in addition to the technician’s time. These are separate roles performing separate work on the same client request.

During regular hours: Normal Operations management of the appointment is included. There is not a separate Operations labor charge simply because Operations is coordinating the visit.

After-Hours Appointments #

An appointment is considered after-hours when support takes place outside the applicable residential or business Operations schedule. If Operations staff are needed after hours to coordinate the technician, communicate with the client, assist with troubleshooting, manage an escalation, or otherwise actively support the request, that Operations time is also billable. The technician bills for the work being performed while Operations bills for the active management and support it provides.

Emergency service has separate emergency pricing. When emergency field support is required, the applicable emergency rate is used for the field support work rather than the planned 1.25× after-hours field rate. Any Operations time required outside regular hours remains separately billable at the applicable after-hours rate.

Important: Scheduling an appointment in advance does not make after-hours work regular-hours work. Planned support performed outside the applicable team’s regular schedule is billed at 1.25× the applicable rate.

What Is Required to Schedule #

Before a billable appointment can be confirmed, the client must have:

  • An EasyITGuys account.
  • A valid payment method on file.

If the required payment method is not provided before the appointment, the appointment may be canceled. Most non-member support appointments also require a deposit equal to the first 15 minutes of service. The deposit is non-refundable because dedicated appointment time is being reserved. If the original issue is resolved before the appointment, the deposit can usually be transferred to another service need within 30 days. After 30 days, the deposit is forfeited and cannot be transferred.

The free 15-minute Meet & Greet appointment does not require a service deposit.

Appointment Confirmations and Reminders #

Once an appointment is scheduled, clients receive:

  • An initial confirmation after booking.
  • A reminder approximately 24 hours before the appointment.
  • A reminder approximately 1 hour before the appointment.

How IT Appointment Scheduling Works #

IT appointment scheduling is available for remote, service center, and onsite support. The correct appointment type depends on the work needed, the client location, the equipment involved, and the team or technician required.

Onsite Scheduling Levels #

Onsite scheduling is divided into Standard, Rush, and Emergency service. These levels describe how quickly the client needs a field support technician onsite.

Standard Onsite Scheduling #

Standard onsite scheduling is used when service is requested 3 or more business days in advance. This gives Operations time to document the request, coordinate the expected scope and costs, publish or assign the field request, identify an appropriate technician or partner, and coordinate the visit without rush-related pricing.

Rush Onsite Scheduling #

Rush onsite scheduling applies when onsite service is requested within approximately 1 to 3 business days. A $50 rush scheduling charge applies. Field support labor is billed at 1.25× the applicable rate because expedited service may require additional coordination and changes to existing technician schedules. Rush scheduling prioritizes the coordination of the request. It does not guarantee a particular technician, arrival date, or arrival time.

Emergency Onsite Scheduling #

Emergency onsite scheduling applies when onsite service is needed within 24 hours. Emergency field support labor is billed at 2× the applicable rate. Emergency scheduling remains subject to technician availability, location, travel requirements, qualifications, weather, existing emergencies, and the type of work requested. When Operations staff are also required to actively work outside their regular schedule, their applicable after-hours time is billed separately.

Scheduling Priority vs. After-Hours Service #

Scheduling priority and after-hours service answer two different questions.

Why a Deposit Is Required #

Most non-member appointments require a non-refundable 15-minute deposit. The deposit reserves dedicated time with our team and helps keep appointment availability fair for clients who are ready to proceed. If the original issue is resolved before the appointment, the deposit can usually be transferred to another service need within 30 days. After 30 days, the deposit is forfeited and can no longer be transferred.

Payment Methods #

Non-members use a credit card for billable service and are subject to the applicable 3.99% credit card convenience service charge. Members may use eCheck without the credit card convenience service charge or may use a credit card.

Availability and No-Show Expectations #

Appointment times and onsite arrival windows are estimates. Availability can be affected by the service needed, technician qualifications, travel distance, weather, existing emergencies, rural locations, and other scheduled work. We will communicate material scheduling changes as soon as reasonably possible. Please be available at the scheduled appointment time. If the client does not join, answer, or respond within 7 minutes of the scheduled start time, the appointment may be canceled as a no-show.
