This IT offboarding guide explains what to expect when your organization is transitioning from EasyITGuys to another IT provider. Your organization should choose the IT partner that best fits its needs. We appreciate the opportunity to have worked with you, and we respect your decision to make a change. Providing notice does not reduce our commitment to the services we are still providing. IT Offboarding Guide: Plan the Transition, Not Just the Cancellation Date #
This guide is for organizations considering a change and those already working with an incoming provider. Offboarding is more than removing software. It includes transferring access, preparing employees, replacing protection, reviewing subscriptions, and preserving the recovery history your organization may still need.
We recommend allowing approximately 90 days for a coordinated transition. This provides more time for access, documentation, replacement security, backup history, questions, vendor processing, and unexpected dependencies. It is a planning recommendation, not a requirement to purchase 90 days of overlapping full-service IT support.
For overall transition planning, 30 days is a practical minimum when permitted by the applicable agreement and service dates. Backup storage cleanup can follow a different timeline. Certain legacy backup services may require up to 31 days of retained storage after new backups stop. Contractual notice, the support handoff, backup retention, vendor processing, and final billing should therefore be treated as related but separate timelines.

Three Finish Lines to Track #
The dates above help plan the transition, but they do not all lead to the same finish line. The support handoff can happen before every technical task or billing item is complete. Tracking these three milestones helps everyone understand what has changed, what still remains, and who owns the next step.
A finish line is a transition milestone, not goodbye. When the incoming provider becomes the primary support team, EasyITGuys can still assist with agreed transition work. After an IT membership ends, organizations are still welcome to contact EasyITGuys whenever they need assistance. Technical support is available under our standard nonmember break/fix terms, including the standard business labor rate and a 2-hour minimum for each separate support request. Recurring EasyITGuys security, backup, and other managed IT services require an active membership.

Think of Offboarding as a Ramp-Down, Not a Hard Cutoff #
Changing IT providers does not need to feel rushed or stressful. We regularly work alongside other IT companies and are happy to coordinate with the incoming team. The goal is to transfer responsibilities carefully, keep needed protections in place, answer questions, and reduce EasyITGuys services as the new provider becomes ready to take them over. This means the support handoff, security transition, backup transition, software removal, documentation handoff, and final billing do not all have to happen on the same day. The incoming provider may become the primary support team while EasyITGuys continues selected security, backup, licensing, or other approved services. As each item is replaced, we can remove or cancel that item through the normal process. The pace is an organizational decision. Some organizations prefer a faster transition. Others choose additional overlap so the incoming provider has more time to build backup history, learn the environment, validate protection, and ask questions. We are happy to work alongside the incoming provider until the agreed transition work is complete.
You have breathing room. The contractual end date does not need to become an artificial technical cutoff. When the committed term has been completed and an active transition still requires EasyITGuys services, the remaining membership and applicable recurring services can continue on a monthly transition basis. Services can then be reduced as they are replaced until the transition is complete.
Start With Clear Contacts and Responsibilities #
Begin through an authorized EasyITGuys communication channel. Provide any formal written notice required by your agreement. Include the requested transition date, your organization’s decision-maker, the incoming provider’s contact information, and any services you already know should continue. Ask for confirmation of receipt and the applicable end dates.
- Organizational leadership approves the decisions. Leadership identifies authorized contacts, approves spending and service changes, and makes decisions about acceptable transition risk. Written authorization can allow the incoming provider to approve removals, subscription changes, and related charges within the authority granted.
- The incoming provider manages the overall transition. That team leads its onboarding process, identifies the access and information it needs, deploys replacements, and validates readiness. Providers use different methods. We cooperate with their approach rather than requiring them to adopt ours.
- The EasyITGuys IT Coordinator coordinates our participation. The coordinator helps organize our documentation handoff, internal assignments, service changes, and removal activities. Each team remains responsible for its own agreed work.
Leadership and the incoming provider should prepare employees before the support handoff. Employees need to know who to contact, when that changes, how to report an urgent issue, and where existing open requests will go. Technical readiness alone does not establish that employees understand the new support process.
Keep the Services You Still Need #
Leaving a managed IT plan does not mean every service must move at once. Review each item and decide whether it will continue with EasyITGuys, transfer to the incoming provider, be replaced, or end.
Continue Plan 1 Until the Agreed Support Handoff #
Plan 1 continues providing its agreed support, security, and other covered services while those services remain active. Providing notice does not reduce our care or commitment to that work. Your applicable agreement may include transition-specific response provisions. Under the current MSA, response-time commitments do not apply while EasyITGuys is performing offboarding-related services under the Transition Exception. This does not change our commitment to a professional transition. It is another reason to plan the handoff early and avoid creating unnecessary urgency.
Use Plan 2 for a Staged Transition #
Once the original Plan 1 commitment is complete, an agreed move to Plan 2 can reduce outgoing support costs when the incoming provider is ready to take responsibility for support. Selected security, backup, and other recurring services can remain active while their replacements are introduced. Plan 2 does not include support labor. Assistance is billed hourly at partner rates, subject to applicable terms and any available courtesy transition time. Plan 1’s included support labor does not continue after a change to Plan 2. A monthly transition arrangement can keep the needed membership and services active without keeping every former service. Confirm the selected services, effective date, charges, and intended end dates in writing. A monthly arrangement is not an automatic conversion of an existing committed agreement. Some Services Can Stay With EasyITGuys #
Recurring IT services and software require an active membership. This includes security, backups, retained backup storage, remote access subscriptions, digital signage, licensing, and domain or DNS management supplied as recurring IT services. Website, hosting, marketing, SEO, and VoIP services can continue under their separate arrangements without an IT membership. Keeping one of those services does not provide member pricing or included labor for unrelated IT support. The incoming provider does not need to resell every service you use. We are happy to continue appropriate services under an agreed arrangement, either temporarily or longer term. Separate commitments, including some backup and disaster recovery arrangements, still need to complete their own terms.
Understand Transition Assistance and Costs #
Transition assistance is separate billable work under the Service Guide unless specifically included in writing. This can include documentation exports, access coordination, vendor communications, service changes, credential retrieval, configuration review, and tool removal. As a courtesy, EasyITGuys currently provides a limited transition allowance for active Plan 1 and Plan 2 clients. The applicable allowance should be confirmed as part of the transition record before additional work begins.

Confirm the available courtesy time in the transition scope, especially when changing plans. Do not assume that a plan change creates another allowance. All offboarding work beyond the applicable courtesy time is billable, including additional questions, meetings, troubleshooting, exports, or removal assistance. A provider-led or DIY approach can reduce EasyITGuys labor charges. Your incoming provider completes more of the work using the available documentation and approved instructions. A do-it-with-you approach adds hands-on coordination and assistance. More complex environments or extensive service histories commonly require time beyond the courtesy allowance. The coordinator can help clarify the requested scope, remaining courtesy time, applicable charges, and any balance or prepayment requirements before additional work proceeds.
After IT membership ends: All further technical support and transition assistance is handled as break/fix work at standard nonmember rates, service levels, and minimums. This includes follow-up questions and assistance with unfinished removals. We remain happy to help, but a former membership does not provide continuing member benefits.
Follow a Staged Technical Handoff #
1. Establish Access and Transfer Documentation #
Access should be one of the first priorities. The incoming provider should obtain authorized administrative access to the organization’s Microsoft 365 environment and other essential accounts. Early installation of its remote monitoring and management agent, commonly called an RMM agent, can also support the transition. Coordinate deployments and change ownership while both providers have access. Two management systems should not make conflicting changes to the same devices.
We routinely prepare an IT Playbook or runbook export from the IT documentation platform. It provides applicable organizational documentation, configuration information, and support records available through the standard export process. Sensitive credentials, passwords, and recovery information are supplied through a secure channel. The export is not a transfer of our shared management platforms or access to other clients’ information. The incoming provider should review the material, test the access provided, and identify any gaps before the relevant systems or portals close.
2. Coordinate Microsoft Licensing Separately #
Administrative access and subscription billing are separate handoffs. An eligible subscription transfer may allow licensing to move without replacing the subscription. A shared purchasing channel can simplify coordination, but different channels do not automatically rule out a transfer. When replacement licensing is needed, the incoming provider should arrange the required licenses before outgoing coverage ends. Cancellation or nonrenewal must still follow the existing subscription’s terms. Avoid treating license cancellation as the first step or deleting user accounts as a substitute for transferring licensing. 3. Replace Protection Before Removing It #
The incoming provider should identify what is being replaced and confirm that the replacement is operating. Installing software alone is not the same as validating coverage.

The independent file-encryption layer is not Microsoft BitLocker or ordinary full-disk encryption. It cannot simply transfer to the incoming provider. Removing that layer does not mean all device encryption should be disabled. Disk-encryption recovery keys and ongoing management should be handed over appropriately. Include offline devices and any remaining encrypted files in the transition review. A device that has not connected cannot be assumed to have completed decryption or software removal.
4. Remove Outgoing Tools in the Agreed Order #
Once replacement services are ready and the required authorization is documented, we coordinate the removal of applicable tamper-protection settings. This allows authorized removal using the appropriate instructions. The IT Coordinator can provide available self-service guides for the tools involved. Remote removal is always best effort. Devices must be reachable and able to accept the commands. Offline devices, damaged installations, or other technical problems may require local work or additional assistance. Sending an uninstall command does not prove that removal completed.
Keep the outgoing RMM among the last tools removed. It may still be needed to finish decryption, remove other software, or address remaining device work. Confirm replacement access before removing it, and retain any tools still needed for services continuing with EasyITGuys. The incoming provider should validate the resulting environment and take ownership of identified remaining tasks. Request additional EasyITGuys assistance before membership ends when possible. Later assistance follows the nonmember terms described above.
Give Backups Their Own Transition Timeline #
A new backup solution starts building its own recovery history. It does not automatically inherit the older recovery points held by the outgoing provider. Those older copies may be useful when a missing file, application problem, or other issue is discovered after the support handoff.
Understand Retention, Immutability, and the Stop Date #
Retention describes how long recovery points remain available. Immutability protects recovery points against modification or deletion for a defined period. The end of an immutable period does not automatically delete the data or end the storage service. EasyITGuys managed backup standards currently use a 30-day immutable protection period where supported. The actual backup configuration remains the source of truth for a specific environment. Immutability helps preserve protected recovery points if an attacker or compromised administrator attempts to delete or alter backups. See Backup Security and Retention for the broader concepts.
For certain legacy backup services, plan for up to 31 days of post-stop retained storage and cleanup after EasyITGuys stops creating new backups. This 31-day operational window is separate from the immutable-protection period and from the overall retention period. Existing recovery points may remain stored and billable during this time. Other backup services may have different retention settings, commitments, or cancellation requirements.
Stored backups are not ongoing backups. Once EasyITGuys stops taking new backups, our retained copies do not capture later changes or new data. The replacement provider should already be protecting the required systems and information.
Build Replacement History Before Releasing Older Copies #
Start replacement backups as early as practical. The incoming provider should confirm what is protected, verify that backups are completing, and perform appropriate recovery testing. A successful backup notification alone does not establish that every application or operational process can recover. Our Backup Testing and Recovery Validation guide explains that distinction.
We recommend building at least 31 days of usable recovery history with the incoming provider before releasing older outgoing recovery points. A 60- to 90-day history is preferred where practical. If the organization wants approximately 90 days of newly created backup history before EasyITGuys stops taking new backups, followed by up to 31 days of retained legacy storage, the total backup transition can extend to approximately 121 days.
Overlap means useful recovery points from both providers remain available. It does not require both providers to create new backups during every day of the overlap. Once the replacement backup process is operating appropriately, EasyITGuys can stop creating new backups on the approved date while retaining older recovery points for the applicable storage period. Organizational leadership decides whether to approve a shorter overlap after reviewing the available history, cost, and remaining risk with the incoming provider. Neither 31 nor 90 days automatically satisfies every organization’s recovery, insurance, compliance, or operational requirements.
Plan the Final Storage and Billing Cycle #
During an agreed storage-only stage, the legacy backup charge is based on the existing backup data retained in storage. An active membership is still required. Storage, membership, and any remaining separate commitments must be considered together. There are no partial-month prorations for this storage arrangement. To avoid another billing cycle, cancellation must be processed and the applicable retained storage must be eligible for removal and no longer active before the first day of that cycle. A cancellation request alone does not override an immutable lock.
When storage remains active into the next billing cycle, another cycle of storage and the required monthly membership applies. This can happen even when the remaining immutable period is only a few days. Thirty-one days is not always the same as one calendar month. Confirm the last successful backup date, the date new backups stop, the earliest eligible cleanup date, and the intended storage-end date. Also confirm any requested longer retention and the final billing cycle. Recovery or export assistance during retained storage follows the active service scope and applicable labor charges.
Close Subscriptions and Equipment Deliberately #
Tell Us When Each Service Is Replaced #
As services are transferred or replaced, notify the IT Coordinator so we can process the corresponding vendor cancellation and billing change. Installing a replacement does not automatically cancel the outgoing subscription. Removing a local agent does not automatically delete cloud storage. Submit applicable cancellation and retirement instructions before the 25th to allow processing for the upcoming billing cycle. This processing cutoff does not replace contractual notice requirements or shorten a subscription commitment. Later requests can affect a subsequent cycle instead. Backup and disaster recovery subscriptions, including BDR and BCDR arrangements, may have terms separate from managed IT support. An uncompleted equipment or subscription commitment does not end simply because the support provider changes. Cloud services also need explicit decisions. Removing a system from a management console or shutting down a server is not necessarily the same as deleting its underlying resources or ending their charges. The incoming provider should identify what must remain, transfer, or be decommissioned.
What Happens at the Contractual End Date? #
The contractual end date does not need to be treated as the day every technical service must disappear. When the committed term has been completed and the transition is still active, the remaining IT membership and applicable recurring services can continue on a monthly transition basis. This provides time to finish the handoff without requiring another annual or multi-year commitment. Services can then ramp down as the incoming provider replaces them. Support may move first. Security, backups, licensing, remote access, or other recurring services may remain longer when needed. Each service can be reviewed separately so the organization does not have to create an unnecessary all-at-once cutoff.
The organization and incoming provider control the pace of the transition within the applicable service, subscription, and billing requirements. If additional time is needed, communicate that before a scheduled cancellation is processed so the services that still need to remain can be identified and continued appropriately. If communication stops and no continuation has been requested, we follow the documented cancellation instructions and applicable service-end dates. Existing commitments, retained backup storage, and other applicable charges may still continue according to their own requirements.
Return EasyITGuys-Owned Equipment #
The return list should distinguish EasyITGuys-owned or return-required equipment from equipment your organization owns. EasyITGuys-provided equipment must be returned as required by the applicable agreement. Coordinate the return method, shipping instructions, and any required data handling with the IT Coordinator before equipment is disconnected or shipped. Missing, damaged, unreturned, altered, or inaccessible equipment may result in replacement charges and applicable recovery, shipping, handling, administrative, or labor costs. Confirm the return requirements before disconnecting a device that still supports an active service.
Finish With a Shared Record of What Remains #
Before considering the transition complete, the organization and both providers should confirm what has been completed, what is continuing, and what remains pending. Each pending item should have an owner and a next step. Include unresolved devices, open support requests, active incidents, scheduled changes, unfinished projects, upcoming renewals, vendor cases, known technical issues, documentation or credential gaps, remaining recovery needs, equipment returns, and services still being billed. Record the support handoff separately from final technical cleanup and financial closure. Also review notification routing and integrations. Website forms, automated alerts, vendor contacts, shared communication channels, and support shortcuts should point to the appropriate team. Remove obsolete access after it is no longer needed while preserving access required for services that remain active.
Request needed exports and recovery information before the related portals, subscriptions, or storage close. Do not assume that records or backups will remain available after their agreed retention or service period ends.
Source of Truth: This guide explains the transition process. Your applicable MSA / Terms of Service, Service Guide, Quote, Order, Statement of Work, and authorized written changes determine contractual obligations. Documented configuration establishes what is actually deployed. Current vendor requirements establish how applicable products and platforms behave. Will EasyITGuys treat us differently because we are leaving? #
Your decision does not reduce our care, professionalism, or commitment to the services we are still providing. We respect your ability to choose another provider. The active service scope, agreed changes, and applicable transition terms determine the work and coverage that continue.
Do we have to keep Plan 1 for the entire transition? #
No. Once the original commitment is complete, an agreed move to Plan 2 can allow the incoming provider to take over support while selected EasyITGuys services remain active. Plan 2 assistance is hourly rather than included support labor.
Do we have to move every service to the new provider? #
No. Review services individually. Appropriate services can continue with EasyITGuys under an agreed arrangement. Recurring IT services require membership. Website, marketing, SEO, and VoIP services can continue under their separate arrangements without an IT membership.
Why might we receive an invoice after the new provider takes over? #
The support handoff is not necessarily the financial end date. Retained backup storage, the required membership, subscription commitments, approved transition labor, or equipment obligations may remain. The transition record should identify those items and their expected end dates.
Does stopping backups make the old recovery points disappear? #
Not necessarily. Existing copies may remain during the applicable retention period, but no new changes are captured after the last backup. Retaining those copies requires an active membership and applicable storage charges. Availability ends when the agreed retention and cleanup process is completed.
Do we have to finish everything by our contractual end date? #
Not necessarily. The contractual end date and the technical completion date are different milestones. Once the committed term has been completed, remaining IT services can continue on a monthly transition basis when additional time is needed and the continuation is coordinated with EasyITGuys. This allows support, security, backups, licensing, and other services to ramp down as the incoming provider becomes ready to assume them. There is no benefit to rushing a transition simply to make every service end on the same day.
Can we get help after our IT membership has ended? #
Absolutely. Organizations are always welcome to contact EasyITGuys for help, whether they are current members, prior clients, or non-members. After an IT membership has fully ended, technical assistance is provided under our standard nonmember break/fix rates, service levels, minimums, and applicable fees. Recurring EasyITGuys security, backup, and other managed IT services require an active membership, but ending a membership does not close the door to future assistance.
