Technology problems can be stressful. Systems may stop working, security may be at risk, or an important request may take longer than expected. During these moments, clear and respectful communication helps everyone work toward the best reasonable outcome. EasyITGuys cares deeply about the people and organizations we serve, the relationships we build, and the employees and partners who make that service possible. We welcome honest questions, direct feedback, complaints, disagreements, and requests for leadership review. Clients do not need to agree with every recommendation, diagnosis, invoice, policy, or service outcome. We will take concerns seriously, explain available options, involve leadership when appropriate, and respond responsibly when an error is identified. We are equally committed to maintaining a professional environment where everyone is treated with dignity. Every healthy service relationship depends on mutual respect and a good-faith effort from everyone involved. When a relationship is no longer healthy or workable, the most reasonable outcome may be to part ways respectfully.

The Standard Is Mutual #

These expectations apply to EasyITGuys employees, contractors, clients, prospects, authorized contacts, users, vendors, visitors, and other representatives. They apply throughout the relationship, including sales, onboarding, support, projects, billing, account reviews, service transitions, cancellations, and offboarding. Respectful communication is not a rule that applies only to clients. EasyITGuys expects the same professional, honest, and productive conduct from its own team.

These standards may also be shared during an active interaction to clarify expectations and help everyone return to a productive conversation.

When a client has a concern, we want to hear it. We would rather understand the issue, review the facts, and work toward a solution than allow frustration to grow without leadership knowing about it. Clients are encouraged to raise concerns early, honestly, and directly.

What Clients Can Expect From EasyITGuys #

EasyITGuys employees, contractors, managers, and representatives are expected to:

  • Listen and make a reasonable effort to understand the concern
  • Communicate professionally, respectfully, and honestly
  • Avoid insulting, demeaning, discriminatory, or dismissive language
  • Explain recommendations, risks, limitations, and next steps as clearly as reasonably possible
  • Protect client privacy, security, and confidential information
  • Follow established service, billing, feedback, and escalation processes
  • Involve management when additional review is appropriate
  • Correct mistakes when they are identified
  • Treat good-faith questions, complaints, and feedback fairly and professionally

Providing respectful service does not mean that EasyITGuys will always agree with every requested outcome. It means concerns should be heard, reviewed, and handled professionally.

What We Ask From Everyone Involved #

Clients, prospects, users, visitors, vendors, and other representatives are expected to:

  • Communicate professionally and respectfully
  • Allow staff a reasonable opportunity to ask questions and respond
  • Provide information as accurately and completely as possible
  • Follow reasonable safety, identity verification, access, and security requirements
  • Respect scheduled appointments and appropriate communication channels
  • Avoid disrupting staff who are assisting other clients
  • Respect the privacy and confidentiality of others
  • Raise concerns through appropriate support, management, billing, or feedback channels
  • Treat employees, contractors, partners, and other clients with dignity

A person may be frustrated, disappointed, or upset without violating these standards. The concern is not the existence of frustration. The concern is how that frustration is communicated and whether everyone can continue working together safely and productively.

How to Share Feedback or Request Leadership Review #

You Are Welcome to Raise a Concern #

Respectful communication does not require clients to remain silent or avoid difficult subjects. Questions, disagreements, complaints, and constructive feedback are welcome and help us improve. Clients may contact management or their account manager, question a recommendation or invoice, request a different solution, submit feedback, or decide that another provider may be a better fit. Our goal is to make it easy for clients to raise meaningful concerns while maintaining a respectful and productive experience for everyone involved.

Submit Feedback for Leadership Review #

Any concerned client is strongly encouraged to use our leadership review form. Submissions are sent directly to EasyITGuys leadership for review.

Share Your Experience With EasyITGuys Leadership

Use this option when:

  • Leadership should know about an experience
  • A concern has not been resolved through normal support channels
  • You believe something was handled incorrectly
  • You want to recommend an improvement
  • You would like help restoring a productive working relationship

The form also allows clients to explain what happened, suggest a reasonable resolution, and request a personal conversation.

Raising a good-faith concern does not violate these standards.

Contact Your Account Manager #

Business clients may contact their account manager at any time to discuss service, billing, project, communication, or relationship concerns. Account managers can review the broader account history, coordinate with support or leadership, clarify expectations, and help identify a productive path forward. Clients do not need to wait for a scheduled review meeting.

Use a Client Satisfaction Survey #

Clients may provide feedback about an active or recently completed support request through the client satisfaction survey associated with the ticket.

The survey may be used to:

  • Rate the support experience
  • Report an unresolved issue
  • Identify a communication concern
  • Explain what could have been better
  • Recognize excellent service

This form requests the submitter’s name, company, and email address. Clients who prefer a private conversation should contact their account manager or use the leadership review form.

Ask for a Manager #

A client may ask for management involvement at any time.

Management review may help when:

  • A conversation is no longer progressing
  • A concern may have been misunderstood
  • The client disagrees with how the matter was handled
  • The concern involves employee conduct
  • A billing or service decision requires additional authority
  • Broader relationship review would be helpful

Requesting a manager is an accepted part of our escalation process.

Share a Concern About Your Experience #

The same professional communication standards apply to EasyITGuys employees, contractors, managers, and representatives.

If you believe an interaction with our team was unclear, discourteous, dismissive, or did not reflect the level of service you expected, please let us know. We care deeply about trust and want the opportunity to understand the experience, review what happened, and address any concern appropriately.

Helpful information may include:

  • The people involved

Management may review relevant ticket records, written communications, service notes, available interaction records, and information from the people involved.

Submitting feedback does not guarantee a particular outcome, but it does ensure the concern can be documented and reviewed by the appropriate people.

When Communication Crosses a Professional Boundary #

Most interactions are positive and productive. On rare occasions, communication may cross a professional boundary. Being frustrated, disagreeing with us, questioning an invoice, requesting management review, submitting a complaint, or cancelling service does not violate these standards. The concern is whether communication becomes personally insulting, intimidating, discriminatory, repeatedly hostile, unsafe, or prevents everyone from working together productively.

Healthy boundary: No client, employee, contractor, prospect, or representative is expected to remain in an abusive or unsafe interaction.

Examples may include:

  • Yelling, personal insults, or demeaning comments
  • Repeated hostile or unwanted communication
  • Discriminatory or sexually inappropriate conduct
  • Threatening, aggressive, or unsafe behavior
  • Pressure to bypass security, safety, legal, or ethical requirements
  • Conduct that prevents us from reasonably assisting the person or others

These situations are uncommon. When they occur, the context, seriousness, impact, frequency, and willingness to restore a respectful interaction may all be considered.

Good-Faith Concerns Are Welcome #

A complaint, invoice dispute, request for management review, cancellation, or decision to use another provider is not inappropriate by itself. What matters is whether the concern is communicated in a respectful and good-faith effort to reach a reasonable outcome.

How EasyITGuys Responds #

Our First Goal Is to Restore Productive Communication #

When reasonably appropriate, our first goal is to acknowledge the concern, clarify the communication concern and what is needed to continue productively, and provide an opportunity to move forward respectfully. Our staff are encouraged to say something similar to “I understand technology can be frustrating, and I want to help. Let’s keep the conversation respectful and focused so we can work through it together.”.

Staff May Pause or End an Immediate Interaction #

A team member may pause or end a call, chat, appointment, visit, or onsite interaction that becomes abusive, threatening, discriminatory, unsafe, or seriously unproductive. Pausing or ending the immediate interaction does not automatically determine the outcome of the underlying request or client relationship. Management may review the conduct concern and the service concern separately.

Steps That May Help Restore a Productive Working Relationship #

When appropriate, management may recommend reasonable communication or service arrangements, such as written communication, a designated contact, scheduled discussions, management involvement, or reasonable access limitations. The goal is to protect everyone involved while creating a practical path for service to continue.

Safety, Service Continuity, and Contractual Considerations #

Prospects and New Clients #

These standards apply before a formal client relationship begins. EasyITGuys may decline to begin or continue an engagement when a prospective or newly onboarding client repeatedly communicates disrespectfully, refuses reasonable safety or security requirements, or prevents a healthy and productive working relationship from being established. We want new relationships to begin with mutual respect and trust. Beginning a new relationship does not remove the shared expectation of respectful and professional communication.

Active Contracted Clients #

Business clients with an active contractual agreement receive the protections and responsibilities contained in their applicable quote, agreement, Service Guide, and the EasyITGuys Terms and Conditions. When a conduct concern involves a contracted client, EasyITGuys will follow the applicable notice, correction, service, and relationship procedures required by those documents. An immediate interaction may still be paused when necessary to protect the well-being of those involved. Management can then review the concern and determine the appropriate contractual next steps.

Residential and Non-Contract Services #

Residential clients, project clients, walk-in clients, prospects, and others without an active long-term agreement are also expected to follow these standards. EasyITGuys may pause, decline, or discontinue a non-contract engagement when respectful communication cannot be restored, reasonable safety or service requirements are refused, or the relationship is no longer safe or workable. When practical, we will communicate the decision professionally and provide reasonable information about property pickup, open invoices, active subscriptions, account access, or transition needs.

Immediate Safety Concerns #

Serious safety concerns are extremely rare. When an interaction creates a credible concern for the safety of a person, system, facility, or property, EasyITGuys may take reasonable immediate steps to protect everyone involved. This may include ending the interaction, restricting access, preserving relevant records, or contacting appropriate emergency or security resources when necessary.

Fair Review and Documentation #

When reasonably practical, EasyITGuys reviews the underlying service concern separately from the conduct concern. A legitimate service concern does not justify inappropriate conduct, and a communication concern does not automatically erase a legitimate service concern. Relevant interactions, agreed communication expectations, safety concerns, and service decisions may be documented to support continuity, fairness, and appropriate follow-up. Documentation should remain factual, professional, relevant, and limited to legitimate business, security, contractual, or safety purposes.

When the Relationship Is No Longer a Healthy Fit #

Most concerns can be resolved through clear communication, reasonable expectations, and a good-faith effort from everyone involved. Sometimes, however, service needs, expectations, communication, or working conditions can no longer be aligned. A healthy service relationship must be reasonably workable for both the client and EasyITGuys. When that is no longer possible, either party may determine that a different provider would be a better fit. This does not necessarily mean that either party acted in bad faith. It may simply mean that the relationship, service model, expectations, or needs are no longer compatible. Depending on the engagement and applicable agreement, EasyITGuys may adjust communication arrangements, limit new work, choose not to renew, or follow the applicable process for concluding the relationship.

Our goal is to handle these decisions calmly, professionally, and respectfully.

Supporting an Orderly Transition #

When services end, EasyITGuys will follow the applicable agreement and take reasonable steps to protect security, continuity, and client-owned information. Transition responsibilities depend on the services involved, account status, licensing, security requirements, and applicable contractual terms. When required or agreed upon, transition assistance may include coordinating with a replacement provider, providing available client-owned information, or addressing active services and subscriptions. Additional transition assistance may be billable.

Frequently Asked Questions #

Can I be upset or disagree with EasyITGuys?

Yes. Clients may express frustration, question a decision, dispute a charge, or report an unresolved concern. We simply ask that the conversation remain respectful and productive.

How can I submit feedback or request leadership review?

Clients may use the leadership review form, contact their account manager, complete a ticket satisfaction survey, or ask to speak with a manager. Good-faith concerns about an EasyITGuys employee or service experience are welcome.

Can an EasyITGuys team member end a call or appointment?

Yes. A team member may pause or end an interaction that crosses a professional or safety boundary and cannot reasonably continue. Management may then review both the conduct concern and the underlying service request.

Does one frustrated comment automatically end the relationship?

Normally, no. We consider the seriousness, frequency, context, impact on others, and willingness to correct the behavior. Serious or immediate safety concerns may require a different response.

Do these expectations apply to everyone?

Yes. These standards apply to EasyITGuys staff, clients, prospects, authorized contacts, users, vendors, visitors, and other representatives. Contracted clients may also have specific notice, correction, and service procedures under their agreement.

What happens if a healthy working relationship cannot be restored?

EasyITGuys may recommend communication arrangements or other reasonable next steps based on the circumstances and applicable agreement. If the relationship must end, our goal is to communicate respectfully and support an orderly transition when appropriate.

Will negative feedback affect my service?

No. Honest, good-faith feedback will not negatively affect how a concern is reviewed or handled. Feedback does not need to be positive, but it must remain respectful and truthful.
